Building Habits

​This year, the topic of habits is getting significant focus. Books from authors like James Clear and his Atomic Habits book, along with older ones from writers like Gretchen Rubin – Better than Before, and Charles Duhigg, the Power of Habits, each take a deep dive into the topic.

When I went to write Coaching Business Builder and PlanDoTrack, I wanted to encapsulate some of the practical exercises I had been doing with individuals, teams and groups for many years. As I write in Coaching Business Builder,

“Habits and practices are things we do automatically, sometimes unconsciously, because they have come so ingrained. There are many schools of thought that create a link between habits and success. That habits lead to success.”

As the tagline in the Coaching Business Builder and PlanDoTrack asserts:
Daily Steps + Consistent Action = Momentum

Habits play a key role in shaping our regular actions. Habits are things we do automatically, and if we are able to instill regular go-to activities that can help us move forward, it can support automation of tasks and activities.

Habit development takes place over time. While the commonly held time-frame a decade ago was that habits took about 21 days to form, today we know that many take longer than that. Lally’s research has been influential in expanding that window to approximately 66 days to a new habit. Check out James Clear’s article on this and other research.

Habits are connected to our behaviors and therefore results. It’s our regular behaviors which shape the results we get. As my doctor recently asserted, my regular habit of walking more than 12,500 steps, along with other factors has helped to lower my cholesterol and blood pressure in the last couple of years. While they were not at a danger zone they were in the higher zone.

Another one of the habits I have built in over the last few years has been around work flow. My Mondays and Thursdays are full, long days, which does free up some time on either Wednesday or Thursday for blocks of writing and other creative pursuits. As an author, and writer, finding these times are critical for reflection and creation.

This year, take a look at the goals you have set for yourself. What are the results you are looking for? Increased sales, new programs, building your network? Work backwards and reverse engineer what are the behaviors you are going to need to undertake on a regular basis?

As you consider your current goals and priorities:
  1. What will help you be successful this year?
  2. What are the habits that are going to help you?
  3. What are the regular activities you want to build into your work?
  4. What are the consistent behaviors and actions you want to or need to undertake to move you towards your goals?
  5. What could amplify, or magnify, your regular behaviors?
  6. What's missing that could make a difference?
  7. What consistent flow do you want to get into?

Weekly Planning Hacks #34 - Minimizing Digital Distractions

​As I often write “we live in an era of digital distraction”. From bings and pings, quirks and quarks, digital distractions are everywhere.

Digital distractions can include:
  • The pings and bings of email. Dr. Gloria Mark’s research found that it can take us upwards of 22 minutes to focus again after a disruption
  • Social Media
  • Instant Messaging
  • Other messaging such like Messenger, What’s App and others that may not get turned off when others do
  • The impact of too many emails coming in all at one time
Questions to consider:
  • What is the cost of digital distractions for you?
  • What do you have control over?
  • What can you turn off at certain points of the day? (Note we can disconnect from the internet, turn off phones, and select what email we get. This may be a discussion point for the team, particularly as people may not be able to work as efficiently with all the distractions. What is possible in your work and the work you undertake?)
  • What are the things you can do to focus more?

​Last week’s posts explored four general meeting tips. Once you realize that meetings are the best way to go, here are 8 Essential questions to be asking at every meeting:
  1. What’s the purpose?
  2. What takeaways do we want?
  3. Who needs to be on the call?
  4. What preparation is needed for us to be most effective in the meeting?
  5. What pace to do we want in order to keep it engaging?
  6. What will help keep the focus?
  7. What’s absolutely essential? (versus what will be nice to cover or where can people go for more information around topics?)
  8. What follow up might be required?

Focus Question: What have you achieved? What’s needed in this next quarter?

Description
Taking time to pause and undertake a quarterly checkpoint is important. Here we are at our next quarterly checkpoint. What are you noticing each time you undertake a quarterly review? What are common themes across the quarters?
 
The book’s subtitle is “Putting the pieces together”. What are the elements you want to fuse or combine?
 
Activity

Start by reviewing the past quarter:
  • What were your major achievements this quarter?
  • What do you want to celebrate?
  • As you consider the goals (and resolutions) you made at the start of the quarter, how are you doing with these on a scale of 1-10?
  • Which activities are becoming new habits?
  • What is something you can check off?
  • Which goals need to be adjusted or let go of?
  • As a leader/coach/business owner, what have you noticed about your team this quarter?

Weekly Planning Hack #28 - What will wild success look like?

Scattered throughout some of the 28 different planning tools of PlanDoTrack and the Coaching Business builder is the question “what will wild success look like?”. I love asking this question to people I am coaching as it gets us to think about WHAT IS POSSIBLE, often without a lot of censure.
​
There are several ways to reword this question:
  • What’s possible?
  • If you were to wave a magic wand, what would be the end result?
  • If there were no limits, what would you do?

​The benefit of these questions is that it:
  • Helps us look larger and bigger
  • It may shift some of the limiting beliefs and inner critical voices we face around that goal and the related change we need to take in order to make it happen
  • Helps us stretch
  • Supports more ideas and possibilities

As you go about your planning for the next month or quarter, what can wild success look like for you around your most important goals?

Weekly Planning Hack #26 - The Skill of Discernment

​In today’s Digitally Disrupted world, the skill set of discernment and focus are taking precedence. The ability to find “micro-pauses” where you can stop, assess and make decisions plays a critical role in productivity, teams and leadership.
​
Here’s what I wrote bout the skill of discernment earlier this year here at the PlanDoTrack Blog in February:

​“Leveraging our time is as much about getting organized, as it is getting clear on what’s important. Against the backdrop of complexity, ongoing change and disruption, getting ruthless with our time management can be so important to many. As a business owner, or remote worker, this is especially true. We can’t get out time back. So, when we go down a rabbit hole (whether it’s doing too much research online, following a shiny red object or thinking we just need to learn “one more thing”), the costs can be tremendous. Not just in NOT getting things done, but in terms of our focus, our motivation and also our profit line!

Discernment is about getting clear on what’s important and what’s not. It is about being clear of what’s going to provide impact now, later or never.
​
As a remote worker or virtual business owner, we are quite control of our time. Our colleagues and/or superiors may be hundreds of miles away, or several time zones ahead. As remote workers, it’s not always about how we manage our time, but how we get our results. Those who feel the crunch in getting something over the finish line is usually only us (and those loved ones around us!).

With this in mind, what is the cost of not being discerning around where your time goes, or how clear your projects are, or what is a more important priority than another?
​
As we embark on new projects, or start a new week, it can be useful to be asking (ourselves, and our stakeholders):
  • What’s most important today?
  • What are the top 3-5 things I want to get completed?
  • What are the MUST Dos?
  • What will success look like with this project/task?
  • As it relates to this project/task, what’s important?
  • Have I considered the short-term, medium-term and long-term in making decisions?
  • What would my colleague/boss/peer/customer say is most important to focus on today?
  • What impact will this activity have? And that one?
 
What questions do you want to consider asking as you decide one priority to another?”

Weekly Planning Hack #27 - Declutter Your Digital Landscape (or Start Afresh!)

This week’s Weekly Planning Hack invites you to think about decluttering your digital landscape (or even starting afresh).

Recently, decluttering has been a popular topic in everyday lifestyle arenas. From Marie Kondo’s philosophy of “Does it bring you joy?”, to Gretchen Rubin’s focus on “Outer Order, Inner Calm” (the same name as her newest book), we may also want to take a look at our digital landscape, where many of us spend a bulk of our time.
​
Take a look at your digital landscape (which may include phones and computers, and tablets, and hard drives). Ask yourself:
  • What is working well?
  • What aren’t you using?
  • What can be removed?
  • What needs to be backed up? After that back up – what do you want to keep? Archive? Spotlight?
  • What needs to be deleted?
  • What do you need to unsubscribe from?
  • What is your vision of a truly satisfying digital landscape on the different devices you own?
  • What would minimizing look like for you in terms of devices and content?

Earlier this year I spent some time exploring this topic with a group of business owners. The topic of digital clutter was causing significant angst for several group members, impeding their ability to get work done.

On a scale of 1-10, how important is this topic for you right now?

What is the time window you are going to allocate to focus on it?

Week 31 Focus – Marketing Review
Focus Question: What needs a tweak with your 5 P’s?

Description
Last week we started to take stock of where you are around dialogue and marketing of your work. Whether you are internal, or external, we are regularly marketing ourselves. Internally we may be focused on personal branding and/or creating and positioning a business case for our work. Externally, we want to offer the best item of value to our customers or clients.
 
When we explore the topic of marketing and program/product design, we often talk about the Marketing Mix or the 5 P’s– Product, Placement, Promotion, People, and Price. Knowing our 5 P’s and reviewing it regularly ensures that we are on target with what our customers or stakeholders want.
 
This week, as review, note what’s worked, and what hasn’t recently in the five different areas of the 5 P’s.

Use associated worksheet to note what’s worked and what hasn’t around the 5 P’s around your product or service offering.
Undertake a review of your metrics. This could include numbers of subscribers, engagement, posts, views, follows, comments etc. What do you notice?
What’s working around your marketing right now?
Consider the business which has come in, over last six months. What sources led to it? What is in the pipeline? What has shaped this?
 
Do an audit on your content. Consider:
  • Content to be created
  • Content which is being consumed
  • Content which could be repurposed
  • Syndication options – WHERE and THROUGH WHOM could you expand your web of followers and readership?

Connection to the Workbook and Planner

Part of doing a marketing review is reviewing metrics and trends. Take a look back at your notes. What do you notice? You may want to:
  • Review the Annual planners and quarterly tools
  • Review the monthly daily planners – what do you notice?
  • Use the Content Creation Tools in the Coaching Business Builder or PlanDoTrack to Track and note ideas you want to action
  • Use brainstorm list to capture these ideas around marketing

Focus Question: What does your LinkedIn profile portray?

Story
LinkedIn is an important social media vehicle especially for those who are looking at working in organizations and corporations. Many HR professionals or leaders may go to LinkedIn to check out the resources.
 
What are the things you want to include on LinkedIn? You might consider:
  • Posting articles or a new resource through LinkedIn Pulse
  • Sharing a photo of you at work with clients (with permission of course!)
  • Share an update regarding a recent award or other
  • Sharing a press release
  • Post in a group and keep the conversation going

​Activity
Review and update your Linked In profile. What does it showcase? What needs updating?
  • Who are you connected to?
  • What are the things you want to post on LinkedIn?
  • How much time do you want to dedicate to it?
  • What traffic do you get around what you have listed? Note these in your tracker.

Wow! Here we are in week 26, mid-point of the 52 weeks, and of the year.
This week you are encouraged to block off time to take stock of your achievements. First, review your annual plan. You may want to include some information around these questions:
  • What have you achieved so far?
  • What new items do you want to add?
  • What can you check off your list?
  • What have been key lessons since the start of the year (or the 52 weeks)?
  • What’s different about you/your business?
  • What’s really important for you to focus on in this last half of the year?
  • By the end of the 52 weeks, I want to be sure I….

Research/Story
Creating intentional pause points is an important part of any coaching and learning process. Being able to stop and reflect is also critical for business success.
 
While we can keep on doing, are we doing the right things which have impact? What is working and what is not?
 
This is the premise of the Virtual Retreats I host throughout the year in the PlanDoTrack series, as well as the month end reflection and monthly planning hacks.
