“When you write down your ideas you automatically focus your full attention on them. Few, if any of us, can write one thought and think another at a time. Thus, a pencil and paper make excellent concentration tools.” – Michael LeBoeuf How much are you keeping in your head? What is the cost of keeping too many ideas only up in the head and not captured somewhere? Many of us walk around all day trying to keep things in our head. What are the things you want to be capturing on paper or in an app? Capture it before it flies away. How many times did you think of something great but didn’t capture it, and couldn’t remember it hour later? We have limited capacity in terms of what we can carry in our brains, especially in short term memory. Have you heard of the 7 + or – 2 rule? That’s about how much our brains can remember at any given time, hence one of the reasons why phone numbers are only 7 digits in length. It can be valuable to make our thoughts visible so you can keep it in focus and be reminded of it. In coaching, I usually encourage my clients to decide how they want to keep it visible. This might include a note on a whiteboard, a To Do list on their phone, a note in a journal or a file that on their computer. Why write it down? Week 32 Focus – One Percent Rule to Business Development Focus Question: What are the consistent daily steps you want to undertake? Description Since 2005 I have been sharing what I call the One Percent Rule to Business Development. I've heard from a lot of entrepreneurs that they like this notion of incremental business action. So here it is! The 1% rule to business development consists of a series of 8 different stages: 1. Create the Vision: Our vision sets the broad swath of possibility. It gets us thinking about what is possible. It also helps to anchor us when we think about where we want to go and what we want to do. Making our vision detailed and keeping it visible can be important. How are you enshrining your vision? 2. Prepare. During the preparation phase we want to get clear on what the requirements are for our work and projects. We want to know what a successful result looks like. We want to be clear on what resourcing is needed. During the preparation phase we will gather all the information we have so we can pull together a plan. 3. Create an action plan. In my work as a coach, I usually get my clients to create a One-Page Action Plan. The value of the One-Page Plan is that it contains all of the most important information in one page. The One-Pager be placed in a visual location so that you can refer to it quickly AND regularly. What’s on your action plan? 4. Seek out support. What is going to help you achieve the key goals you have set out for yourself? Support can take many forms – financial, technical, people. What do you need to be successful? 5. Take ongoing small steps. As my father, a retired entrepreneur himself, always reminds me that “Rome was not built in a day”. The premise behind the workbook planners is about taking REGULAR, CONSISTENT action. In building a business by ourselves burnout may be a possibility if we move too fast. It can be important to take regular small steps to create the momentum needed for things done quickly. 6. Test, Learn, Retest. In the sixth step were going to test things out. Today's volatility and complexity requires that we experiment regularly. With the data we receive from the initial test or action we can learn and apply then retest and learn again. This is an iterative process which continues. Throughout the business cycle we may move through different bouts of experimentation. Each cycle creates an opportunity for learning and growth. 7. Learn, Iterate and Act. Each action creates a reaction, which over time creates its own momentum, making it easier to achieve the goal. Along the way learning and feedback will help to shape what we do. 8. Ultimately our goal is achieved. Based on our experience we will further refine the vision that we set out for ourselves, expanding it or modifying it based on our experience. This will further support and shape our actions are we move forward with the next cycle and process. This cycle may take place in a short amount of time, for example a day or it may be phased over the longer term of a project. Week 19 Focus – Marketing Focus Question: What do you want to do to get the word out about your work or business? Description Marketing is often one of the biggest question marks for new (and experienced) business owners. It’s also a significant area for virtual professionals who may be representing an organization in a specific geographic area. In this light, marketing may be referred to as advocacy, positioning or representation. Taking time to focus regularly on marketing/advocacy communication and related tasks is key. This aligns with the Daily Steps + Consistent Action = Momentum tagline of the Coaching Business Builder and PlanDoTrack books. What are the daily steps and consistent actions you are currently undertaking around marketing? How is it starting to add up? For many years as I was starting my own business, I taught marketing studies and other business subjects to post-secondary students. As different as we might think that marketing principles vary, they are quite similar across industries. Likewise, while the vehicles have changed over the years, many of the principles remain the same. In marketing, whether we are selling shoes, an idea, or a service, we talk about the 5 Ps. Each product, service or idea typically is shaped by these five things (all starting with P): Product/Program -What are you offering? Be specific about what it entails. Price - Consider what is included in the pricing. What is the market rate? Are you above the market? Below the market? At market pricing? Place - Where are you offering this? Is this a physical or digital product? Promotion - What promotional strategies do you want to use? Refer to the 9 Promotional Vehicles I cover in the Coaching Business Builder and PlanDoTrack. People - Who do you need support from in order to make this happen? What resources do you need? Take notes around these five areas. General questions to consider around marketing:

Throughout the Planners in the Coaching Business Builder and Plan Do Track, I invite you to consider the Projects, Tasks and Activities you are focusing on this month. As it relates to projects, these might include projects which are focused in on creating new processes or procedures or designing and running a program. Projects are usually the larger umbrella which houses discrete tasks and activities. Tasks and activities are discrete steps. They might be as small as reviewing a report, or as complex as creating an e-book. You’ll want to consider what level of granularity supports you as a professional. Personally, I find that I may include larger projects first as a task, until I figure out how to break it down into smaller, more discrete pieces. Description As small business owners we will often be managing a series of projects. Not all of us are trained in the areas of project management. Quality of a project is determined by a balance of Time, Cost and Scope. If one of these qualities change, there will be an impact on the other two elements. Projects may be as big as a book creation which is scaled over several months or years, or as discrete as writing a newsletter.
Story - Project Management 101 As a former project manager my world was always framed in program starts, mid-points and end of project reviews. Spending time on end-of-project review helps us reduce learning and mistakes in a second iteration. Regardless of how big or small the project is it can be useful to talk stop and pause and see how things are going. Some of the questions at the midpoint could include:
If time changes, the budget or scope needs to change. For example, if you had originally ear-marked 6 months to have a book published, and all of a sudden it needs to be ready in the next 3 months, you will need to explore: Adding more resources – paying for rush service, or bringing other people on board to help OR perhaps you need to make the book shorter, so instead of having it be 20 chapters, publishing it as a 10 chapter book this year, and aiming to publish Part 2 of the book as a follow-up next year. There is a whole slew of project management tools available. Tools to explore include Asana, Trello, or other apps. Activity Consider a project you are working on. What is the time, scope and budget? Break things down into project tasks and activities. What are the major milestones? What needs to be done by when? What do you want to do each month or week of the project? Map it out/create a timeline. Who are the key stakeholders you need to engage with and keep updated? Connection to the Workbook and Planner Every month use Monthly Daily Tracker to capture key learning from projects. Noting data (milestones, completions, meetings) may help with things like Time Estimation, Process mapping or other learning for this project or others. As you complete your Monthly To-Dos each month note any projects, tasks and activities you are working on. There is space in each of the Monthly One-Page Planners to note projects you are starting, continuing and ending. You can also adapt the Content Trackers or monthly trackers to track the different stages of the projects you are engaging with. From regular periods of no electricity, to political and natural disasters which pulled work off course. I learned early in my career the value of two things which continue to help me flourish today – #1 – Focus – Focus when you can, even if it is for a short while. Productivity is not always about the long haul, it can also be about the short burst of focused effort. This is especially true in my world where I am regularly juggling roles, hats, responsibilities and clients. As much as I would love to have huge swaths of time to undertake my work, it’s unlikely. Therefore, focused burst of work, coupled with #2, help me (and the business) keep moving! #2 – Be clear on the top 3 – 5 goals for the day, week and month. My world was the world of contingency planning on steroids, so being clear on what top 3 or 4 to-dos were for the day, or the week, or the month, created a powerful anchor to planning, and also feeling satisfied when EVERYTHING on the list did not get done (which was almost every day).
