52 Weeks of Plan, Do, Track - Week 32: One Percent Rule to Business Development

Week 32 Focus – One Percent Rule to Business Development
Focus Question: What are the consistent daily steps you want to undertake?

Description
Since 2005 I have been sharing what I call the One Percent Rule to Business Development. I've heard from a lot of entrepreneurs that they like this notion of incremental business action. So here it is!
The 1% rule to business development consists of a series of 8 different stages:
1. Create the Vision: Our vision sets the broad swath of possibility. It gets us thinking about what is possible. It also helps to anchor us when we think about where we want to go and what we want to do. Making our vision detailed and keeping it visible can be important. How are you enshrining your vision?
2. Prepare. During the preparation phase we want to get clear on what the requirements are for our work and projects. We want to know what a successful result looks like. We want to be clear on what resourcing is needed. During the preparation phase we will gather all the information we have so we can pull together a plan.
3. Create an action plan. In my work as a coach, I usually get my clients to create a One-Page Action Plan. The value of the One-Page Plan is that it contains all of the most important information in one page. The One-Pager be placed in a visual location so that you can refer to it quickly AND regularly. What’s on your action plan?
4. Seek out support. What is going to help you achieve the key goals you have set out for yourself? Support can take many forms – financial, technical, people. What do you need to be successful?
5. Take ongoing small steps. As my father, a retired entrepreneur himself, always reminds me that “Rome was not built in a day”. The premise behind the workbook planners is about taking REGULAR, CONSISTENT action. In building a business by ourselves burnout may be a possibility if we move too fast. It can be important to take regular small steps to create the momentum needed for things done quickly.
6. Test, Learn, Retest. In the sixth step were going to test things out. Today's volatility and complexity requires that we experiment regularly.  With the data we receive from the initial test or action we can learn and apply then retest and learn again. This is an iterative process which continues. Throughout the business cycle we may move through different bouts of experimentation. Each cycle creates an opportunity for learning and growth.
7. Learn, Iterate and Act. Each action creates a reaction, which over time creates its own momentum, making it easier to achieve the goal. Along the way learning and feedback will help to shape what we do.
8. Ultimately our goal is achieved. Based on our experience we will further refine the vision that we set out for ourselves, expanding it or modifying it based on our experience. This will further support and shape our actions are we move forward with the next cycle and process.
This cycle may take place in a short amount of time, for example a day or it may be phased over the longer term of a project.

Activity
Using your business or a current project, work through the One Percent Rule. What can action and learning look like around one of your most important goals? Map out the 8 steps of the One Percent Rule.

Week 31 Focus – Marketing Review
Focus Question: What needs a tweak with your 5 P’s?

Description
Last week we started to take stock of where you are around dialogue and marketing of your work. Whether you are internal, or external, we are regularly marketing ourselves. Internally we may be focused on personal branding and/or creating and positioning a business case for our work. Externally, we want to offer the best item of value to our customers or clients.

When we explore the topic of marketing and program/product design, we often talk about the Marketing Mix or the 5 P’s– Product, Placement, Promotion, People, and Price. Knowing our 5 P’s and reviewing it regularly ensures that we are on target with what our customers or stakeholders want.

This week, as review, note what’s worked, and what hasn’t recently in the five different areas of the 5 P’s.

Picture
Activity
Use associated worksheet to note what’s worked and what hasn’t around the 5 P’s around your product or service offering.
Undertake a review of your metrics. This could include numbers of subscribers, engagement, posts, views, follows, comments etc. What do you notice?
What’s working around your marketing right now?
Consider the business which has come in, over last six months. What sources led to it? What is in the pipeline? What has shaped this?

Do an audit on your content. Consider:
  • Content to be created
  • Content which is being consumed
  • Content which could be repurposed
  • Syndication options – WHERE and THROUGH WHOM could you expand your web of followers and readership?

Connection to the Workbook and Planner

Part of doing a marketing review is reviewing metrics and trends. Take a look back at your notes. What do you notice? You may want to:
  • Review the Annual planners and quarterly tools
  • Review the monthly daily planners – what do you notice?
  • Use the Content Creation Tools in the Coaching Business Builder or PlanDoTrack to Track and note ideas you want to action
  • Use brainstorm list to capture these ideas around marketing

Weekly Planning Hack #25 - Top 3- 5 Goals

7/31/2019

Picture
The mantra for today is for many “Bigger is better” but when it comes to goals in fact it may be that “Less is more”. With workplaces ripe with ever-changing priorities it can lead to a lack of engagement and clarity on the part of employees. When we are pulled into meetings last minute and not able to focus on some of the core tasks we had planned, it can feel disruptive and disempowering. While we may never be able to focus on all the tasks we have planned, being able to focus, and take action on, our top 3-5 goals in a day or a week, can help employees feel as if they have some control.

As you will note with the Coaching Business Builder and PlanDoTrack, many of the planning templates have space for you to note your Top 3 – 5 goals each week or month. These can serve as anchors in what sometimes feels like a sea of change!

Do you already ask yourself every day or regularly, “What are my top 3-5 goals?”? If not, now many be the time to experiment with this practice. See what you notice.

Let us know how you are using the different planning resources in PlanDoTrack or Coaching Business Builder in the comments here, or jump into the discussion over at the Conversation Sparker Zone.

Enjoy the conversation!

Week 27 Focus – Communities on Social Media – Facebook, Mighty Networks, LinkedIn etc.…
Focus Question: What are the communities you want to build on social media?

Description
In early 2018 Facebook announced it was going to place an emphasis on communities in their social media ecosystem.

In addition to having a profile on the varying social networks, building community intentionally on social media has multiple benefits including cultivating connection with like-minded people, sharing resources with people who have a common interest, and also adding value to a community who can refer.

What are the communities you want to build on social media?

There are several different platforms you might want to consider including:
  • Facebook
  • Mighty Networks
  • LinkedIn Groups
I’ve set up a number of different community opportunities I hope you will decide to connect around:
  1. The PlanDoTrack Facebook page.
  2. The Conversation Sparker Zone I host on Mighty Network which focuses on several smaller communities: Team and Group Coaching, Virtual Conversations, Virtual and Remote Entrepreneurship, Virtual and Remote Teamwork and Leadership. Join us there.
  3. The CoachingBizBuilder feed over at Instagram.

Activity
Consider what community you might want to spearhead in social media.
  • What is the purpose?
  • What are the guidelines?

What content would you populate your new community on social media with? Consider material you have created, go-to resources from others, and polls to find out what people want.

Consider dedicating each day to a different theme: Throwback Thursday, Motivation Monday…

Connection to the Workbook and Planner
Use the Content Daily Trackers, and Content Brainstorm to identify key content you are sharing or plan to share.

52 Weeks of Plan, Do, Track - Week 23: What's your message?

6/7/2019

Picture
Picture
Week 23 Focus – What’s your message?
Focus Question: What are you doing to create a message that is clear, crisp and consistent? What is important to consider?

Description
We have spent the last few weeks exploring different marketing approaches which will have been of interest to virtual professionals and entrepreneurs. For those that are leaders and professionals internal to an organization, a reminder that positioning your message internally, and building a business case, draws on many of the marketing principles we have been talking about.

This week’s focus on “What’s your message?” is important to all virtual professionals and business owners. Being clear with your message, and its delivery is key to business success.

Across the span of a week we are constantly communicating. From formal presentations to meetings with your boss, to connecting with peers, communication happens formally and informally throughout the day.

This week’s focus is what’s your message? We’ll explore it in the light of making a presentation.

It’s often said that you have 7 seconds to make a good first impression. What’s going to capture the attention of others with your message?

Consider the following:
  • Distilling your message down to 3 bullet points. Take a look at this week’s quote.
  • Starting your presentation/communication with a factoid, photo or graphic to capture their attention.
  • Asking a question to get people thinking about how the topic relates to them.
What’s going to make the impression you want? In today’s business context, being heard and being understood is critical.

Activity
Think about an upcoming presentation or message you need to deliver. It could the announcement of a new program or offering. Work through these questions:
What’s your core message? What is it that you really want to say? Distill it down to 3 bullet points. What’s your intent? What do you want others to do as a result of the presentation?

Key to creating memorable messages is that it is:
  • Memorable – What will make this stand out? Is there a story or image you can share?
  • Clear – Review your message. What’s unclear?
  • Understood – what are the terms or issues people are looking for? What are people listening for?

Connection to the Workbook and Planner
Using the content planners and brainstorming space found towards the back of the planner can support you with your messaging. Also consider referring to some of the tips in Section 3 (Marketing and Promotion Essentials) as well.

Weekly Planning Hack #12 - Trackers

5/1/2019

Picture
“What doesn’t get measured, doesn’t get done” – Tom Peters

Tracking is an often-overlooked component of success. A common saying is that what doesn’t get measured, doesn’t get done OR what does get measured, does get done.

What are the metrics you are tracking in your business?

For virtual businesses this might include:
  • Sales
  • Revenue
  • Time spent marketing
  • Service delivery time
  • Content Creation Time

For virtual or remote employees this might include:
  • Commute times/travel time
  • Time spent on social media (you can now use your iPhone to immediately see your usage on different sites)
  • At work
  • In meetings

What are the things you are aiming to adjust or impact?

Have a great day!

Weekly Planning Hack #11 - Projects, Tasks and Activities

4/24/2019

Picture
For many of us, our work revolves around projects – some which last weeks, others which may last months or years.

Throughout the Planners in the Coaching Business Builder and Plan Do Track, I invite you to consider the Projects, Tasks and Activities you are focusing on this month.

As it relates to projects, these might include projects which are focused in on creating new processes or procedures or designing and running a program. Projects are usually the larger umbrella which houses discrete tasks and activities.

Tasks and activities are discrete steps. They might be as small as reviewing a report, or as complex as creating an e-book. You’ll want to consider what level of granularity supports you as a professional. Personally, I find that I may include larger projects first as a task, until I figure out how to break it down into smaller, more discrete pieces.

As you consider projects, tasks and activities, you might note every month what you want to:
  • START
  • Complete/Wrap up
  • Continue
For projects that are completing and getting wrapped up, consider these questions:
  • What do you want to note in terms of learning – what worked, what didn’t?
  • What helped to facilitate and what derailed things?
Spending time on a monthly basis reviewing these elements can ensure that our ideas get carried forward. Seeing them in one place helps us to be more methodical, as well as be able to communicate what needs to get done when, how, and by/with whom. Projects also benefit from time estimation – estimating how much time it really takes to get something done.

What’s important to consider around projects you are managing right now?

52 Weeks of Plan, Do, Track - Week 16: Project Management 101

4/19/2019

Picture
Picture
Week 16 Focus – Project Management 101
Focus Question: What are the projects you are involved in with your business and work right now?

Description
As small business owners we will often be managing a series of projects. Not all of us are trained in the areas of project management. Quality of a project is determined by a balance of Time, Cost and Scope. If one of these qualities change, there will be an impact on the other two elements.

Projects may be as big as a book creation which is scaled over several months or years, or as discrete as writing a newsletter.
  • Certain elements are key in managing projects
  • What are the main tasks?
  • What do you need to ensure you get done?
  • Who is responsible for what?
  • What are the tasks which are required?
  • What will success look like?

Story - Project Management 101
As a former project manager my world was always framed in program starts, mid-points and end of project reviews. Spending time on end-of-project review helps us reduce learning and mistakes in a second iteration.
Regardless of how big or small the project is it can be useful to talk stop and pause and see how things are going.

Some of the questions at the midpoint could include:
  • What's working well?
  • What changes are needed?
  • What resourcing needs to change?  (Think: human resource is, IT, other resources…)?
  • Who else can we learn from?
  • Are there other projects with have experienced a similar status?
In the world of project management, we want to make sure that projects are on time, on scope, and on budget. This is often known as the triple constraint and in any given project these three elements are interdependent. Think about a triangle.
If time changes, the budget or scope needs to change. For example, if you had originally ear-marked 6 months to have a book published, and all of a sudden it needs to be ready in the next 3 months, you will need to explore:
Adding more resources – paying for rush service, or bringing other people on board to help
OR perhaps you need to make the book shorter, so instead of having it be 20 chapters, publishing it as a 10 chapter book this year, and aiming to publish Part 2 of the book as a follow-up next year.

There is a whole slew of project management tools available. Tools to explore include Asana, Trello, or other apps.

Activity
Consider a project you are working on. What is the time, scope and budget?
Break things down into project tasks and activities.
What are the major milestones?
What needs to be done by when?
What do you want to do each month or week of the project?  Map it out/create a timeline.
Who are the key stakeholders you need to engage with and keep updated?

Connection to the Workbook and Planner
Every month use Monthly Daily Tracker to capture key learning from projects. Noting data (milestones, completions, meetings) may help with things like Time Estimation, Process mapping or other learning for this project or others.
As you complete your Monthly To-Dos each month note any projects, tasks and activities you are working on.

There is space in each of the Monthly One-Page Planners to note projects you are starting, continuing and ending.

You can also adapt the Content Trackers or monthly trackers to track the different stages of the projects you are engaging with.

Tracking and Time Management

2/25/2019

Picture
One of the favorite things I enjoy about the PlanDoTrack and Coaching Business Builder Workbook and Planners are the Trackers. I’ve included 12 sets of Monthly Daily Trackers in each publication, so that you can track the most important elements in your work (and life) over the course of a year.
Making things visible, and intentionally tracking items, can provide valuable information and data. This can help us with our decision making, and prioritizing.

Remote Workers might be tracking:
  • Time spent on projects or tasks
  • Meeting time
  • Feedback provided
  • Hours of work

Virtual Businesses might track:
  • Revenue
  • Sales
  • Expenses
  • Presentations or Pitches Given
  • Client Meetings
  • Services Delivered

What are the elements you are tracking?

Best wishes,
Jennifer
